Please note that the enrollment form, photo release, and knife form are all incorporated into our new registration system.   Payment options are also available during the registration process.

Registration & Cancellation Policy

Registration for all programs is done by submitting an enrollment form either online or via the mail. (Contact us at [email protected] for mail registration.) Upon enrollment, the medical information form must be submitted, as well as the knife and photo permission forms. If you do not wish for the participant to be allowed to be photographed, do not sign that portion of the release.  In addition, each participant must also have a waiver on file, updated each calendar year.  Click here for a copy of the 2022 Waiver Update. It will also be available at the student’s first day of a Quiet Heart program.

Upon registration, each student enrolled in camp or year round program must submit a $100 deposit per camp/program.  Full tuition may be paid upon registration or according to the payment plan available on the registration site. (Different terms apply to different programs.)

Tuition for all individual workshops is due upon registration.  Workshop series may have a payment plan available, if indicated on the registration page.

Parents need to be on-time for student pick up. After 10 minutes, a late pick-up fee of $15 per 5 minutes will be charged.

The cancellation policy for summer programs is as follows:

Cancellation before June 1st: Registrants may receive a full refund except for a $25 registration fee
Cancellation 14 days prior to the beginning of program: Quiet Heart will keep the $100 deposit and any other funds will be refunded to the registrant
Within 14 days of the program: all tuition is non-refundable.

The cancellation policy for year round programs is as follows:

Cancellation by the participant can take place at any time 14 days prior to the beginning of the program with a full refund (with the exception of a $25 registration  fee). Within 14 days prior to the beginning of a program, the deposit is non-refundable. All tuition is non-refundable after a program begins.

The cancellation policy for workshops is as follows:

Cancellation by the participant can take place at any time 7 days prior to the beginning of a program with a full refund (with the exception of any non-refundable fees).  7 days prior to a workshop, all tuition paid is non-refundable.

Missed or Administratively cancelled programs

Although we rarely need to do so, we reserve the right to cancel a course or change a course duration, tuition or location. Quiet Heart Wilderness School is not responsible for costs associated in these cases.

In the case that any of a program is cancelled due to inclement weather, or circumstances out of our control, all possible attempts will be made to offer a make-up day. However, in many circumstances, this may not be possible. In the event of a program cancellation due to weather, air quality, or other concerns, we will notify families as soon as possible via email to the primary address on file. We are unable to offer refunds if a program, or any part of a program, is cancelled due to inclement weather, air quality, or other circumstances out of our control.

Air Quality: If the Air Quality Index is from 101 to 150 (Orange Level, or “Unhealthy for Sensitive Groups”) we will continue to hold programs, but adjust our activities toward less strenuous physical exertion.  If the AQI reaches 151 or above (Red Level or “Unhealthy”), we will cancel programs. We will notify families via email regarding our decision by 8am (for full day programs) or 12pm (for afternoon programs). Unfortunately, in line with our cancellation policy, we will be unable to reimburse families for any camp time cancelled due to weather or other natural occurrences.   Occasionally, we may decided to try to hold camp, but will evaluate throughout the day.  In this instance, families will be notified that they need to be prepared to pick up their students if we determine that conditions are deteriorating and it is in the best interest of the students to close camp for the day.

We acknowledge and respect that families each have unique needs and levels of comfort, and we encourage families to make the attendance decisions that are right for them. If programming goes ahead as planned, we are not able to offer any refunds to families who choose not to attend.

If a program is cancelled due to low enrollment, tuition will be fully refunded or made transferable to another camp or program.
